Administrative Assistant - Sales & Service Team
Overview:
We are seeking a professional and motivated Administrative Assistant to join our expanding team specialising in pump sales and services. This role involves a combination of administrative support, client & supplier interaction, and logistical coordination, all essential for maintaining efficient operations and delivering excellent customer service. The successful candidate will enjoy working in a dynamic environment where attention to detail and positive communication are valued.
Key Responsibilities:
· Create jobs and purchase orders for the Auckland team
· Liaise with suppliers regarding costs and invoices
· Assist in monitoring and updating quotes to ensure accuracy
· Check and process invoices
· Manage receipting of inbound freight and coordinate outbound deliveries
· Support general office duties and daily administrative tasks
· Conduct weekly stocktake and assist with stock management
· Collaborate with the sales and workshop teams to track open orders and jobs
· Provide friendly and professional responses to client inquiries via phone and showroom visits
· Support internal and external sales teams as needed
· Assist with preparing customer quotes, converting them into jobs or invoices, and ordering related items
· Provide backup support for monitoring the admin and sales email inboxes
· Assist the Office Manager and General Manager as needed
· Support pump delivery activities, ensuring timely and professional service
About You:
· Friendly, professional, and clear communicator
· Ability to ensure, encourage the sales team with the timely completion of administrative tasks
· Well-organised with a keen eye for detail
· Able to balance the various elements of the role, whilst ensuring that admin tasks are prioritised.
· Willing to assist with logistical and delivery duties, including pump drop-offs
· Proactive, reliable, and team-oriented attitude
