Systems Business Analyst

Were a Wellington-based charity with a national reach, dedicated to supporting the ongoing education and professional development of pharmacy professionals. With a strong focus on learning and member engagement, we operate a suite of systems including a Totara-based LMS, a bespoke membership platform, and a recently updated accounting system. Were passionate about the work we do - and were ready to level up our systems to better serve our members and future-proof our operations.
About the Role:
We need a sharp, experienced Systems BA to hit the ground running and provide a clear-eyed view of where we are now - and where we need to be. Youll lead an audit of our existing IT landscape and help lay the groundwork for smarter, more integrated, and sustainable systems. Your insights and recommendations will directly shape our IT strategy moving forward.
Key Responsibilities:
- Conduct a full audit of our current IT systems, including:
- Totara LMS (currently underutilised)
- Membership management system (bespoke, externally supported - a known risk)
- Microsoft 365 (untapped potential)
- Website integration
- Recent financial systems change (MYOB Advanced → Xero)
- Identify system gaps, risks, and opportunities for optimisation and integration
- Explore new membership system options that align with Totara and our evolving needs
- Develop a practical and forward-thinking IT Strategic Plan
- Work closely with internal stakeholders (including leadership whove recently inherited IT responsibilities) to ensure recommendations align with organisational goals
About You:
Youre a seasoned Systems Business Analyst who loves solving puzzles, simplifying the complex, and making systems work better for people. Youre strategic, hands-on, and confident working across diverse systems and stakeholder groups.
You Bring:
- Proven experience in system audits and IT business analysis
- Strong understanding of LMS platforms (Totara experience highly regarded)
- Experience with membership-based systems and CRM tools
- Familiarity with Microsoft 365 (and how to unlock its potential for organisations)
- Comfort with financial system integrations (e.g., Xero, MYOB)
- Ability to work independently and bring clarity to complexity
- A collaborative, user-first mindset with strong communication skills
