Logistics Operations Support:
This role is responsible for providing higher-level administrative and operational support across the company's logistics and
transport operations. The successful candidate will support management by maintaining accurate administrative systems,
coordinating operational documentation, preparing reports, liaising with internal and external stakeholders, and assisting
with fleet, procurement, compliance and workflow records.
We are a New Zealand-based logistics business providing transport, freight, delivery and logistics support services. Due to ongoing operational requirements, the company is seeking a capable and organised Administrative Professional - Logistics Operations Support to assist with logistics administration, fleet records, operational reporting, correspondence and day-to-day business support.
About the Role
This role is responsible for providing higher-level administrative company's logistics and
transport operations. The successful candidate will support management by maintaining accurate administrative systems, coordinating operational documentation, preparing reports, liaising with internal and external stakeholders, and assisting with fleet, procurement, compliance and workflow records. This is not a basic clerical role. The position requires sound judgement, strong organisation, accurate record-keeping, and the ability to support a busy logistics operation through structured administration and operational coordination.
Key Duties and Responsibilities
Coordinate and maintain administrative systems relating to logistics operations, fleet records, delivery documentation
and transport support.
Maintain accurate manual and electronic filing systems for vehicle, driver, freight, delivery, operational and compliance
records.
Prepare, compile and update regular operational, fleet and administrative reports for management review.
Manage internal and external correspondence, including communication with drivers, clients, suppliers, contractors and
internal management.
Support daily logistics operations by assisting with job allocation records, delivery schedules, transport documentation
and workflow tracking.
Assist with fleet administration, including vehicle records, service records, maintenance records, fuel records and
related documentation.
Support procurement and asset management processes, including records of vehicle-related purchases, supplies,
equipment and operational assets.
Assist management with corporate, operational and administrative planning by providing accurate reports, records and
administrative input.
Monitor and update company administrative procedures to support efficient logistics and transport operations.
Liaise with relevant stakeholders to ensure operational records, administrative records and compliance documentation
are completed accurately and on time.
Provide administrative support for health and safety, employment, compliance and operational documentation where
required.
Identify administrative issues, report discrepancies, and recommend improvements to internal systems, workflow and
record-keeping processes.
Perform other administrative and logistics support duties reasonably required by management.
Minimum Requirements
Applicants must meet the following minimum requirements:
At least 3 years of relevant work experience in administrative roles, logistics administration, fleet administration,
transport operations support, office administration, procurement/asset support, or a closely related administrative field;
OR
A relevant Diploma at NZQCF Level 5 or higher, or an overseas qualification assessed as comparable to a New
Zealand Level 5 Diploma or higher.
Strong computer literacy and ability to maintain manual and electronic filing systems.
Ability to prepare business correspondence, operational records and reports.
Strong communication and stakeholder liaison skills.
High attention to detail, accuracy and organisational ability.
Ability to work independently and as part of a team in a busy logistics or transport environment.
Remuneration and Conditions
Pay rate: $29 - $35 per hour
Hours: minimum 30 hours per week and maximum 40 hours per week.
Employment type: full-time, permanent.
Work location: Queenstown, New Zealand.
The role will be based at VDL and will involve communication with drivers, suppliers, clients and
operational staff.
