Position: Maintenance Planner
Location: 240 Jellicoe St. Te Puke, Bay of Plenty, New Zealand
Minimum required hours: 35 hours per week
Salary Range: NZ$70,000-74,375/annum

JOB PURPOSE:
Plan, schedule, coordinate and monitor plant maintenance to keep equipment safe, compliant, reliable and ready for production. The role is mainly focused on maintenance planning, including preparing work orders and job packs, arranging maintenance schedules, managing backlog, keeping CMMS/Limble records accurate, coordinating labour, parts, permits, contractors, access to equipment, shutdown work and machine handover support.
The role also provides reliability improvement support (approx. 20%): review maintenance data, support RCA/5-Why or defect-elimination reviews, update approved PM/job-plan improvements and track approved reliability actions. Reliability duties are limited to planning, data review, coordination and follow-up. Final technical approval remains with the Maintenance & Project Engineering Manager or authorised Site Engineering Lead.
JOB RESPONSIBILITIES
- Maintenance Planning & Scheduling
Build daily/weekly/monthly schedules aligned with production, sanitation, shutdowns, resources and priorities.
• Plan PM, corrective, condition-based, shutdown and approved improvement work for execution readiness.
• Convert requests into work orders/job plans with scope, steps, duration, skills, parts, tools, permits and safety controls.
• Coordinate access windows with Operations, QA, Warehouse, Planning and Maintenance.
• Manage backlog, track schedule attainment and reschedule missed work.
• Schedule approved reliability actions from inspections, breakdown reviews or RCA.
2.CMMS/Limble Work Management & Data Discipline
- Govern CMMS/Limble workflow from request to closure and history capture.
- Maintain asset hierarchy, PM templates, job plans, coding, attachments and equipment history.
- Ensure work-order closure captures work done, parts, labour, failures, readings/photos, permits and return-to-service evidence.
- Report KPIs: PM completion, schedule attainment, backlog, emergency work, closure quality and repeat work.
- Use CMMS data for planning, prioritisation, spares readiness and recurring-issue visibility.
3.Spares Readiness, Inventory & Re-order Coordination
- Maintain critical spares, min/max levels, re-order points, lead times, alternates and job-kitting data.
- Monitor inventory levels, usage trends, stockout risks, slow-moving items and wrong-part issues.
- Coordinate re-order requests with Warehouse/Stores and Procurement based on min/max, lead times, criticality and planned work.
- Ensure parts, tools, consumables, permits and materials are identified, reserved and staged before execution.
- Support preparation of parts, tools and materials for PM, corrective work, shutdowns and approved reliability actions.
- Escalate stockout risks, obsolete parts, long lead-time items and recurring parts issues.
- Recommend updates to critical spares, re-order points, min/max levels and planning assumptions, subject to approval.
4.Machine Handover, Contractor Coordination & Compliance Evidence
- Verify pre-maintenance handover: line clearance, product removal, hygiene controls, LOTO, permits and access.
- Verify return-to-service: guards, housekeeping, test run/functional checks and sign-offs.
- Coordinate contractors for planned work, including scope, access, permits, safety expectations and completion evidence.
- Maintain checklists, permits, photos, readings and escalation records in Limble or the approved system.
- Track shutdown completion, carry-over work, post-shutdown defects and lessons learned.
- Perform other related planning, coordination or compliance tasks as assigned.
5. Reliability Improvement & PM Optimisation Support
- Review CMMS, downtime and breakdown data for repeat failures, chronic downtime and high-risk assets.
- Prepare history, work-order data, photos, parts use, failure codes, downtime and operator feedback for RCA/5-Why reviews.
- Recommend PM, inspection, job-plan or spares improvements, subject to technical approval.
- Convert approved reliability actions into work orders, PM updates, inspection tasks, shutdown packs or follow-up schedules.
- Track action registers and basic indicators such as repeat failures, unplanned downtime, emergency work, MTBF/MTTR and PM effectiveness.
- Capture lessons learned in Limble and reflect them in future plans, work packs, spares and PM templates.
6. Ad hoc
- Perform other tasks that may be assigned either individually or as part of a committee or team.
- From time to time, you may be directed to realign your efforts with the changing needs of the business.
Job Requirements:
At least 2 years’ relevant experience in maintenance planning, scheduling, CMMS work management or coordination in food manufacturing, FMCG, pet food or an industrial plant.
- Experience must be mainly in planning, scheduling, coordinating and monitoring maintenance, not only hands-on repair.
- Working knowledge of CMMS/Limble: job planning, backlog, PM administration, failure coding, reporting and closure discipline.
- Experience coordinating with Operations, Maintenance, QA, Warehouse/Stores, Procurement, contractors and suppliers is preferred.
- Exposure to data review, failure history, PM optimisation, RCA/5-Why, defect elimination, asset criticality or basic reliability tracking is an advantage.
