About this team: 

Our Audit, Assurance and Reporting Advisory (AARA) team is looking for a Personal Assistant to join us in Auckland.

Reporting to our Partners, this role will see you play a key role in providing comprehensive support to them & to the wider team, to assist with driving and implementing initiatives, as well as diary management and general administration support.

Your typical week will include: 

As a Personal Assistant, in our Accounting and Reporting Advisory team, you will provide support to senior leaders, working as part of a collaborative team. Your typical day will include: 

Supporting four business leaders, you'll easily adapt and build strong working relationships with them and the wider team. Key responsibilities:  

  • Diary Management: actively managing diaries, ensuring efficient scheduling of meetings and pre-empting/early resolution of potential conflicts and issues 

  • Working with the Auckland resourcing team to schedule the wider team, including juggling conflicting priorities and clients. Supporting the national resourcing team with regular reporting and quality standard requirements. 

  • Producing and formatting high quality complex documents. 

  • Travel and Event Management: anticipate and coordinate flights, accommodation, meeting arrangements and some event management support for internal and external events 

  • Updating and maintaining key business applications including CRM, time management and billing systems

  • Role modelling: Playing an active role in promoting and developing office culture, including helping to drive initiatives and assist with managing communication  

  • Develop and maintain effective and efficient office systems 

  • Deal proactively with incoming correspondence/inquiries and respond as appropriate  

  • Working with the other support team members across the business

Previous experience in a similar role, with a professional yet personable character. Confident and client focused with the ability to communicate at all levels is essential for success in this role. The desire to continually learn and be challenged is important in this role as is exceptional attention to detail and the creative use of initiative in forward planning. Other key skills are: 

  • Proficient in Word, Excel, PowerPoint and Outlook, higher proficiency in Word, and PowerPoint would be advantageous. 

  • Demonstrate strong organisational skills, regularly act on own initiative  

  • Exercise confidentiality, discretion, and personal sensitivity in all aspects of the role 

  • Build network of strong working relationships both internally and externally 

  • Experience working within a professional services/large corporate environment would be advantageous
