MacMillan Plumbing & Gas is continuing to grow, and we’re looking for the right person to join our Auckland office team as the Personal Assistant to Maintenance Operations Manager & Accounts Manager
This is not your standard admin position. We’re after someone organised, proactive, and willing to help wherever needed across the business. You’ll be supporting both our Maintenance Operations Manager and Accounts Manager while learning the day-to-day operations of a busy maintenance company.
You’ll be based in our Penrose/Onehunga office working Monday to Friday, 7:30am – 4:00pm, alongside a supportive team who work hard, help each other out, and enjoy a laugh along the way.
Pay will be discussed based on experience, with a range of $30–$35 per hour.
To be successful, you must have at least three years adminstrative work experience.
Key responsibilities include:
- Providing day-to-day administrative support to the Maintenance Operations Manager and Accounts Manager.
- Preparing reports, documents, and client communications.
- Assisting with invoicing, accounts, and general office administration.
- Helping coordinate maintenance works, scheduling, and operations.
- Supporting the wider office team as required.
- Covering team members when needed and assisting during busy periods.
- Maintaining accurate records and ensuring tasks are completed efficiently.
- Assisting with general office duties and day-to-day tasks to help keep operations running smoothly.
- Organising meetings, calendars and inboxes of the Maintenance Operations Manager and Accounts Manager.
- Liaising with staff on matters relating to the organisation's operations, implementing follow up actions and deadlines.
- Liaise confidently with clients on behalf of the Maintenance Operations Manager and Accounts Manager.
- Attending internal and external meetings and acting as secretary.
- Ensuring client-specific documentation requirements are met and records maintained as directed.
- As the role develops, there may also be opportunities to assist with marketing and business support tasks such as social media content, website updates, and online administration.
