We are seeking a highly organised, proactive and reliable assistant to provide comprehensive administrative support to the restaurant manager and director.
About the role:
Key Responsibilities
Liaise with kitchen staff, front-of-house team, suppliers, and other stakeholders to ensure the smooth workflow and operational efficiency for the restaurant director and manager
Research and prepare reports, briefing notes and documents for menu planning and management meetings
Maintain the director’s appointment diaries, schedule management meetings, and coordinate travel arrangements for the director
Attend management meetings and act as secretary, taking minutes as required
Process incoming and outgoing mail, manage filing systems, and assist in maintaining accurate records of stock levels, financial transactions, and supplier contracts
Maintain the restaurant reservation system, including updating availability, assist the restaurant manager in processing online and phone bookings, and ensuring accurate booking records
Convert verbal instructions and dictation from the restaurant manager and director into professional written documents, such as emails, letters, meeting minutes, and operational notes
Provide administrative support in coordinating special functions, banquets, and private events, including preparing booking details, guest lists, and follow-up communications
Support purchasing and supplier management through preparing orders, tracking deliveries, and maintaining supplier documentation
Assist with marketing activities, including coordinating social media content, online review responses and preparing promotional materials
Maintain confidential files and sensitive business information
Provide general administrative support to maintain accurate documentation and records for cleanliness, health & safety, and restaurant presentation standards
